Receive data from forms and other tools

An incoming webhook is a private address other tools can send data to, like a website form or a booking tool. OrcaFlo records each request so your workflows can react to it.

Create one

Open API & Webhooks → Incoming webhooks

In the sidebar, under Connections, click API & Webhooks, then the Incoming webhooks tab (admins only).

Name it and click Create URL

For example “Website contact form”. The URL is shown once: copy it.

Paste it into the other tool

Most form builders call this a “webhook” or “POST URL”. Send a test entry to check it arrives.

Make something happen with it

Create a workflow

Open Workflows, click New workflow and choose Start from scratch (getting started with workflows).

Pick the trigger

Set the trigger to Incoming webhook and pick the link you created. The workflow now starts every time that link receives data.

Add the steps

For example add a tag, assign the lead to a teammate, add a Google Sheets row or send it to your CRM. Click Test, then Publish.

Keep in mind

  • Anyone with the URL can send data to it, so keep it private. Delete it and create a new one if it leaks.
  • Each request can be up to 64 KB of JSON, form data or text.
  • Create one URL per form or tool, so you can tell them apart in the list and in your workflows.
  • Every request also becomes an incoming_webhook.received event, which you can pass on with outgoing webhooks.

Want the assistant to message each new lead?

An incoming webhook records the data; it doesn’t message anyone by itself. To have OrcaFlo write a first message to a new lead from a form, send the lead through Zapier’s Start a Conversation with a New Lead action (Zapier, Make and n8n) or the API. OrcaFlo writes the opener and sends it at a safe pace during business hours, to protect your number.
