Connect your business email
Connect your business inbox and the AI assistant answers new customer emails in the same thread, with your signature, just like it answers WhatsApp. Your team can reply from OrcaFlo too.

Connect your inbox
Create an app password
For Gmail and Google Workspace: turn on 2-step verification, then open myaccount.google.com/apppasswords and create an app password. Yahoo and iCloud work the same way. Zoho: use an app-specific password.
Open Channels → Email
Type your email address. OrcaFlo recognizes your provider and fills in the server settings for you.
Paste the app password
Paste the app password (not your normal password) and click Connect inbox. We test both receiving and sending before saving.
Add your signature
Set the sender name and signature. They are added to every reply.
What the assistant answers, and what it ignores
Only emails that arrive after you connect are answered. Your old emails are never touched.
Newsletters, out-of-office replies, delivery failures and your own sent emails are ignored automatically, so the assistant never gets into a loop with another robot.
Your emails stay unread in your mail app, and replies are also saved to your Sent folder, so your team can keep using the inbox as normal.
The inbox is checked every minute, so a reply can take a minute or two.
Other providers
Any provider with IMAP and SMTP works: choose “Enter servers manually” and type the incoming (IMAP) and outgoing (SMTP) server, port and, if different from the address, the username.
To answer emails yourself, with Cc, Bcc, attachments and your own signature, see Reply to emails from the inbox.
If you don’t see this in your panel yet, email support@orcaflo-panel.com and we’ll switch it on for your business.
Questions
You give OrcaFlo an app password, which only works for email and can be deleted in your Google/Yahoo/iCloud account at any time. We store it encrypted.
Use an app password, not your normal password, and check that 2-step verification is on. For custom servers, check the username.
No. Microsoft doesn’t let other apps sign in to Outlook with an app password. Use another inbox, such as Gmail, Google Workspace or Zoho.
Open Channels, find your mailbox on the Email card and click the bin icon (Disconnect). OrcaFlo stops reading the inbox right away and deletes its access.
