What a WhatsApp AI sales agent does that a chatbot can’t
Short answer
A WhatsApp AI sales agent reads what each customer writes, voice notes included, and replies like a trained salesperson: it quotes from your own price list, asks the questions that qualify the lead, books the appointment or sends a payment link, follows up later and records the lead in your CRM. A chatbot only follows fixed menus and keyword flows.
Updated
Most WhatsApp “chatbots” are menus: press 1 for prices, 2 for our location, type BOOK to book. They work until a customer writes a normal sentence, sends a voice note or asks two things at once. An AI sales agent reads the message the way a person would and then does the next step of the sale. Here is the difference, how to set one up and test it before customers see it, and where it still needs a person.
What is a WhatsApp AI sales agent?
An AI sales agent is an assistant on your WhatsApp number that understands free text in any order, in English or Arabic, and answers from your own information: your products and prices, services, opening hours, delivery areas and policies. It remembers the whole conversation, so a customer who said “for my daughter” three messages ago isn’t asked again.
The “sales” part is what it does after the answer. It asks what is missing to make the sale (the date, the size, the area, the budget), offers real free appointment slots and books one, sends a payment link, follows up with people who went quiet, moves the lead along your pipeline, and passes the chat to a person when it should. A chatbot answers; a sales agent closes, or hands over a warm lead.
Chatbot vs AI sales agent, side by side
| Menu or keyword chatbot | AI sales agent | |
|---|---|---|
| How the customer writes | Taps buttons or types the exact keyword | Writes however they like, or sends a voice note, in English or Gulf Arabic |
| Memory | Each step stands alone; an off-script question breaks the flow | Remembers the whole conversation and what the customer already said |
| Prices | Whatever text you typed into each menu | Quotes from your product and price list, and is told not to invent prices |
| Qualifying | The same questions in the same order for everyone | Asks only what is missing (date, budget, area, size) and skips what it already knows |
| Bookings | Sends a link to a booking page | Offers real free slots and books inside the chat, with a reminder |
| Payment | Usually none | Sends a payment link (Strabl or Ziina, connected by our team) or takes a cash-on-delivery order |
| Follow-up | None, or one fixed blast | Follows up people who went quiet, at a polite hour, if you switch it on |
| CRM | Export by hand | Moves the lead through your pipeline with tags; syncs HubSpot, Zoho CRM or Google Sheets |
| Hand-over | A “talk to an agent” button | Passes the chat to a person with the whole conversation and an alert |
| Upkeep | Redraw the flows whenever anything changes | Update the price list or the instructions; no flows to redraw |
Why menus lose sales on WhatsApp
Customers in the UAE write the way they talk. One message can mix English and Arabic, ask for a price and a time together, and arrive as a 20-second voice note recorded in the car. A menu bot can’t do anything with that except send the menu again, and the customer moves on to the next business they messaged.
Speed matters too. People ask three or four businesses at once and usually book with the first one that gives a real answer. An AI sales agent answers within seconds at 2pm or 2am, and the answer is the price and the next free slot, not “an agent will contact you shortly”.
Example: a clinic in Dubai, in English
The agent quoted from the clinic’s price list, mentioned the patch test because the clinic’s instructions say to for first visits, offered only slots that were actually free and booked one. A menu bot would have sent a link to a booking page and hoped.
Example: an online store, in Gulf Arabic
The customer wrote in Gulf dialect, so the agent answered in Gulf dialect. It checked stock and delivery from the store’s own information, offered gift wrapping because the instructions say to when someone mentions a gift, took the order as cash on delivery and confirmed it back in one message. The order lands in the store’s pipeline as a new sale.
How to set one up
Connect your channels
Link your WhatsApp Business number by scanning a QR code (the account needs to be at least 10 days old). Connect your Instagram professional account and Facebook Page, and add the chat bubble to your website if you want it.
Give it your knowledge
Pick the starter pack for your type of business, then add your products and prices, services, opening hours, delivery areas, policies and the answers to the questions you get every day.
Write its instructions
Say how it should sound (formal Arabic for a clinic, friendly Gulf dialect for a salon), what to ask before quoting, what never to promise, and when to hand over to a person.
Test it before anyone sees it
Chat with it yourself in the panel, as a customer would; nothing is sent to customers while you test. With AI mystery shoppers (early access), about 20 simulated customers chat with it and you get a score, the worst chats and what to fix.
Press Go live
It stays switched off until you press Go live. With Shadow Launch (early access), for the first days it drafts each reply and a person sends, edits or skips it, until the drafts are reliably right.
Improve it every week
Read a few conversations each week. Fix-It Feed (early access) finds the questions it fumbled and suggests a one-tap fix: a knowledge answer, a product detail or a rule.
Where it works
| Channel | What the agent does there |
|---|---|
| Answers on your existing WhatsApp Business number, linked by QR code: text, voice notes and photos. | |
| Answers DMs, turns comments on posts and reels into private chats, answers story replies and shows ice breakers. | |
| Facebook Messenger | Answers messages to your Page and greets people from click-to-Messenger ads; Facebook Lead Ads leads become contacts. |
| Website chat | Answers visitors in a chat bubble on your site. |
| Email and Telegram | Arrive in the same inbox and are answered by the same agent. |
It is one agent with one set of knowledge and instructions, so a price you change once is right on every channel, and your team sees every conversation in one inbox. See the WhatsApp, Instagram, Messenger and website chat pages for the details. WhatsApp can also connect through the Official WhatsApp Business API (Cloud API). Coming soon: TikTok, and product cards from a catalog.
Limits, and when a person takes over
- It knows what you tell it. It answers from your price list and information and is told not to invent prices. When something isn’t there, it says it will check and passes the chat to your team, so keep the price list up to date.
- Some chats belong to people. Complaints, refunds, large or unusual orders, and anything it isn’t sure about go to your team with the whole conversation and an alert on your phone.
- You can step in any time. When you or a teammate reply from the OrcaFlo inbox, or press Pause bot, it steps back for that customer until you hand the chat back. Replies you type on your phone are saved to the chat but don’t pause it.
- It answers; it doesn’t cold-message. It replies to people who wrote to you and follows up with people who went quiet. Contacts you import only hear from you if you send a broadcast or build an automation.
- The WhatsApp connection has a trade-off. OrcaFlo links to the WhatsApp Business app like WhatsApp Web, not through Meta’s official API, so there’s no green tick, and WhatsApp says linking an unofficial app can lead to a temporary or permanent ban. The 10-day rule, paced broadcasts and a WhatsApp health light keep the risk down; running a WhatsApp chatbot without the API explains it in full.
- Big campaigns belong on the API. Large marketing sends to opted-in lists with per-template reports need the official WhatsApp Business API.
What it costs
No plan fee for 14 days and your first 500 messages free, then from $14.99 a month + 2¢ per message. No setup fee. Your customers’ messages and the agent’s replies count; messages you type yourself on your phone don’t. A business with about 300 conversations a month of around 10 messages each pays about $74.99 a month on Starter. Every invoice comes with a payment processing fee, shown as its own line.
Prefer someone to set it up and keep tuning it? The Done-for-you plan includes that. Compare every option in what a WhatsApp chatbot costs in the UAE, or see WhatsApp AI chatbots for UAE businesses. This guide is also in Arabic.
Questions
No. A chatbot follows menus and keywords you set up in advance. An AI sales agent understands free text and voice notes, remembers the conversation, and does the next step of the sale: quotes, books, sends a payment link, follows up and updates your CRM.
Yes. It understands voice notes and photos, and replies in the language the customer writes in: Gulf Arabic, Modern Standard Arabic or English, switching per customer.
It quotes from the product and price list you give it and is told not to invent prices. If something isn’t on your list, it says it will check and passes the chat to your team.
No. OrcaFlo links to the WhatsApp Business app on your phone by QR code, so you keep your number and chats. The trade-off is no green tick and some ban risk, because it isn’t an official WhatsApp app. If you want it, OrcaFlo also connects to the Official WhatsApp Business API (Cloud API); Meta’s per-message fees apply there, billed by Meta to your own WhatsApp Business account.
Minutes for the basics: scan the QR code, pick a starter pack, add your prices and test it before you press Go live. From $14.99 a month + 2¢ per message, after a 14-day free trial.
