Connect your CRM
Connect your CRM once and OrcaFlo keeps it up to date: every new lead becomes a record, each conversation is logged as a note, and leads your assistant qualifies become deals.

Connect it
Open Integrations
In the sidebar click Integrations. Your CRM is under CRM & spreadsheets.
Click your CRM, then Connect
Click the card (for example HubSpot), then Connect HubSpot. Sign in to your CRM and click Allow (or Connect app).
Check the stages
Back in OrcaFlo the card says Connected. Open it to choose what each of your stages means in the CRM (new lead, qualified, won, lost), then click Save.
Send your existing leads (optional)
Click Sync existing leads to send leads from the last 90 days. New leads go over automatically from now on.
What lands in each CRM
HubSpot
A contact with name, phone, WhatsApp number, email and address, plus OrcaFlo fields: stage, lead temperature, source and a link to the chat. Each conversation is a note. Qualified leads become a deal in the pipeline you pick. The lifecycle stage only ever moves forward.
Salesforce
A Lead (or your existing Contact if the phone or email matches). Each conversation is a completed Task. When a lead is qualified it is converted into a Contact, Account and Opportunity. If your company signs in at its own address, pick My Domain (custom) under Org type and type it, like yourcompany.my.salesforce.com.
Zoho CRM
A Lead (or your existing Contact). Each conversation is a note. When a lead is qualified it is converted into a Contact with a Deal. Works in every Zoho region: the UAE (zoho.ae), the UK, Singapore, the US, Europe, India, Australia, Japan, Canada and Saudi Arabia. Zoho sends you to your own region when you sign in, so there is nothing to choose.
Pipedrive
A person with name, phone and email. Numbers and emails already on the person are kept. Each conversation is a note on the person and the deal. Qualified leads become a deal; won and lost update the deal.
Good to know
- No duplicates: before creating a record OrcaFlo looks for one with the same phone number or email and uses it.
- Changes go over within a minute. Conversation notes are written after the chat has been quiet for 15 minutes, and updated if it continues.
- HubSpot and Salesforce also sync back: when you change a name, email or address there, OrcaFlo updates the contact (HubSpot within seconds, Salesforce within 5 minutes). You can switch each field to one direction under Contact fields.
- Zoho CRM and Pipedrive sync one way, from OrcaFlo to the CRM.
- If the CRM connection stops working (for example a password change), you get a notification and the card says to reconnect. Click Reconnect, then Sync existing leads to catch up.
- Click Disconnect to stop syncing straight away. Everything already in your CRM stays there.
Send your own fields (custom fields)
Create the field in OrcaFlo first
Your own contact fields (for example “Budget” or “Treatment”) are made under Contacts.
Map it to a CRM field
Open your CRM’s card under Integrations, go to Custom fields and click + Add a custom field. Pick the OrcaFlo field, type the CRM field name (the hint under the list says where your CRM shows it, for example Budget__c in Salesforce), then click Save.
Choose the direction
HubSpot, Zoho CRM and Pipedrive receive the value (OrcaFlo → CRM). Salesforce can also send changes back: pick CRM → OrcaFlo or Both ways.
When OrcaFlo and the CRM disagree
With Both ways, the most recent change wins. An empty value in OrcaFlo never clears what the CRM already has.

Yes. Each connected CRM gets its own copy of every lead.
